Edit Conflict Warnings

When working with multiple people on your intranet site you may run into situations where somebody else is editing the page you want to work on. Now Papyrs lets people know so you don’t accidentally overwrite other people’s changes:

If you’re viewing a page while somebody else saves a new version you’ll get a message about that too:

Finally, if you have the Papyrs editor open in two browser windows Papyrs will now let you know as well so you don’t overwrite your own changes by accident. This is not a big feature, but if you ever run into edit conflicts, you’ll be glad it’s there!

Today we released two small updates to Papyrs.

1. High resolution (retina) logos

The quality of LCD displays has increased so much in the past couple of years. More pixels. Better color reproduction. Better viewing angles. Brighter whites and blacker blacks. A while ago we updated Papyrs to take advantage of high resolution (high DPI) screens to make the icons and graphics nice and crisp. One thing remained on the to-do list though: updating the way your site logo is displayed in Papyrs on high resolution screens. We just went ahead and added support for high resolution (retina) site logos. And the best thing is, if you’re already using Papyrs you don’t even have to do anything — your site logo should just appear sharper when viewed on a high resolution display. And for those who read this who aren’t using Papyrs yet, why not give it a try? We have a free trial.

2. High resolution (retina) profile pictures

Especially in the People Directory it can be difficult to recognize people by their photos, because the pictures are so small. Having crisp, high resolution, images makes a big difference here. And we updated the images in the Papyrs Activity Feed as well. High resolution profile pictures will only be used for images set from this point on. Existing profile pictures are left unchanged.

Export Form Data to Microsoft Excel

Today we added a feature to Papyrs to export Papyrs Forms data to Microsoft Excel.

Papyrs Forms are used to track all sorts of information. You can use it to keep track of your sales leads, customer orders, invoices, customer feedback, appointments, or anything else. With Papyrs you can just drag&drop form widgets onto a page and a fully functional database application is created automatically for your form. Sometimes, though, you want to do some extra analysis on the data you have stored in your Papyrs Forms database. This analysis you may want to do in a spreadsheet program.

With this Papyrs update creating these Papyrs reports of your data and exporting them to Microsoft Excel takes just a single click. Navigate to “Views & Reports” and select “Export to Excel”. Your browser will download an XSLX file that can be opened by Microsoft Excel 2007 or above, macOS Numbers, Open Office Calc, and Google Sheets.

Open the downloaded file in your spreadsheet software of choice and you can do your work right away. No conversion or import step necessary.

Note for existing Papyrs Users
Export to Microsoft Excel is the default for new users, but existing users have to change their Data Export format first. To do this navigate to settings:

Then select “MS Excel” as “Data Export format” on the Preferences page and click Save:

Bulk permission assignment for App pages

With Papyrs, we want to make it really easy to collect and process information online. You can easily build online custom forms with drag & drop. The forms are put directly on your Papyrs pages, so you can show any other relevant rich content and information alongside your form. The data you collect with these forms ends up in a form database that you can search through, filter based on relevant attributes and you can export form data to a spreadsheet program like Excel.

Permissions for Papyrs Forms are straightforward. You can choose whether regular users can view all submitted form records or only those form records they have submitted themselves, and whether they can edit nothing, their own form records, or all form records.

You can upgrade a regular Papyrs Form to a Papyrs App. With Papyrs Apps every time a form is filled out Papyrs creates a Papyrs Page for that individual form record. You can then add rich content to that form record like you can for any regular Papyrs page. This means you can add Tables, Image Galleries, Videos, and any other rich content you like to that App Page. But you keep all the benefits of the structure that a form provides.

These App pages can contain any kind of content. Some of this content may be sensitive, some of the content you may want to share with everybody in your organization. That’s why you can set access permissions for individual App pages. Administrators can choose who can view and who can modify an Papyrs App page. This is in contrast to regular forms where the same permissions apply to every record in the form database. However, when you have dozens or even hundreds of these pages setting these permissions individually can get tedious. That’s why Papyrs has a Bulk Permission assignment tool. You can use that to quickly copy permissions between users, set all permissions for pages in a specific category or for pages with a specific tag. One thing was missing though: the option to set permissions for all pages that are part of a specific Papyrs App. We added that feature today.

To use Bulk Permission assignment for Apps pages first navigate to the people directory and select Edit Permissions:

Then select “Filter pages”:

Image Gallery in Activity Feed

Just a quick Monday-morning update. If you click on image thumbnails on the activity stream you’ll now get an Image Gallery.

The Image Gallery looks something like this:

The image gallery is touch-enabled and works on mobile devices. You can still download images by clicking on the filename at the bottom of each image or by right-clicking and choosing “save link as”. If you add a mix of documents and images as attachments to a comment, only the images will appear in the gallery, the other files will be available for download as before.
